Summarise new leads and draft a first reply

The one page here that isn't about moving data. It turns a lead record into a suggested action, so the first reply reads the same whoever on the team ends up sending it.

What this connection does, and doesn't

Every time Lead Recorder logs a new lead, a Zap sends the details to ChatGPT, which drafts a short internal summary and a suggested first reply. Nothing sends or publishes on its own. A person reads the draft and decides whether to use it, edit it, or ignore it entirely. That's a deliberate limit, not a missing feature.

Field mapping

Everything feeds into one prompt, not separate fields on the other end.

The actual prompt

Output quality depends entirely on the prompt, so here it is rather than a description of one.

You're drafting a first-reply suggestion for a new lead. Never send this yourself, a person reviews it first.

Lead details:
Name: {{nameField}}
Email: {{emailField}}
Phone: {{phoneNumber}}
Came from: {{utmSource}}, landing on {{landingPage}}
Enquiry page: {{formPage}}

Write two things:
1. A one-sentence internal summary of who this is and where they came from.
2. A short, plain-English draft reply a team member could send after reading it, friendly, no hard sell, referencing the page they landed on.
01

Open the Zap template and connect ChatGPT

Use the embed below, or open the template directly on Zapier. Connect Lead Recorder as the trigger and the ChatGPT action.

02

Set the prompt

See the exact prompt below. Adjust the tone or the questions it asks for to match how your team actually writes.

03

Send the draft somewhere for review

Route the output to Slack, email, or your CRM, wherever someone reviews it before it goes anywhere near a customer.

04

Test with a real lead

Submit a form or click-to-call on your own site and read the draft critically before deciding whether the prompt needs adjusting.

What catches people out

What catches people out

Every run costs something. Unlike the other connections here, this one has a per-run cost from the ChatGPT action itself, worth knowing before wiring it to every single lead rather than just the ones worth a drafted reply.

The output is only as good as the prompt. Vague instructions get vague drafts. Expect to iterate on the prompt above after reading a few real outputs, not to get it right on the first try.
