Why this actually matters
You'll see “78% of customers buy from whoever responds to their enquiry first” quoted as the reason speed matters. We went looking for where that number came from and couldn't find it, not in a study, a survey, or any of the posts that cite it. A near-identical real estate version, credited to the National Association of Realtors, isn't in their report either. We're not repeating a number we can't stand behind, and you can see what else didn't hold up when we checked it.
The number that is real, from our own dataset: 45% of leads arrive outside business hours, before 8am, after 6pm, or on a weekend. Nobody is refreshing the dashboard at 11pm on a Saturday. A Slack alert is how you find out anyway, in the channel you already have open. See the full breakdown.
Field mapping
There's one Slack field, the message text, built from several Lead Recorder fields at once.
| Lead Recorder field | Slack field | Notes |
|---|---|---|
| nameField | Message text | Opening line of the alert |
| phoneNumber | Message text | Formatted as a tappable link |
| emailField | Message text | Left out of the line when blank |
| utmSource | Message text | Channel label |
| formPage | Message text | Which page they enquired from |
Setting it up
Create a dedicated channel
Something like #new-leads, not #general. This decides whether anyone still reads the alert in a month.
Open the Zap template and connect both accounts
Use the embed below, or open the template directly on Zapier. Connect Lead Recorder as the trigger and pick the Slack channel as the action.
Build the message so the phone number is tappable
Use Slack's link syntax around the number, <tel:+61412345678|0412 345 678>, so it's a one-tap call from a phone, not plain text someone has to copy.
Send a test lead
Submit a form or click-to-call on your own site and confirm the message lands in the right channel, formatted the way you expect.
What catches people out
What catches people out
Channel choice decides whether this works. Pointing the alert at #general means it gets muted inside a week, buried under everything else the team posts there. A dedicated channel, checked or muted on its own terms, is what keeps people actually reading it.
Slack doesn't auto-link phone numbers reliably. If the message just contains “0412 345 678” as plain text, it may not become tappable on mobile. Build the message with Slack's own link syntax around the number so it opens the dialer in one tap.
