Connecting HubSpot to Lead Recorder

How to connect HubSpot and attach real call outcomes and deal values to the leads Lead Recorder already tracks.

Lead Recorder tracks every form submission and phone click on your site, so you know how many leads each channel produces. What it can't tell you on its own is what happened after — did the call go anywhere, did it become a deal, what was it worth. If those leads also end up in HubSpot, this connects the two: instead of "Google Ads produced 22 leads," you can see "Google Ads produced $40,000 in won deals."

What you need

  • Admin access to the site in Lead Recorder
  • A HubSpot account where the same people who submit your forms end up as Contacts — through a HubSpot form, a manual add, or another tool

How to connect

  1. 1Open your site's dashboard and click Integrations.
  2. 2Click Connect next to HubSpot.
  3. 3Approve the connection on HubSpot's consent screen.
  4. 4You'll be redirected back to your dashboard, connected.

Note: This integration is read-only — it never creates or edits anything in HubSpot. It only reads Contacts, Calls, and Deals to enrich leads already captured on your site. If a lead never becomes a HubSpot Contact by some other means, there's nothing for it to match against.

What it matches on, and what it can't

Each pending lead is matched to a HubSpot contact by email first, then phone number, if an email match isn't found. This means a lead that only left an email or phone number — a form submission, mainly — can be matched. A bare phone click has no identifier attached to it at all (you know someone tapped a call button, not who they were or what number they rang from), so it structurally can't be matched to anything, no matter how the connection is configured. Be upfront about this in your own reporting: if roughly half your leads are pure phone clicks, roughly half will never show HubSpot data, and that's expected, not a bug.

How syncing works

  • Right after you connect, Lead Recorder immediately checks recent leads for a match — no waiting required.
  • After that, it checks again automatically every few hours.
  • Matching is attempted for 60 days after a lead comes in, since a deal can take a while to close. A lead that never matches in that window is marked unavailable rather than staying stuck on pending.

Tip: When a match is found, the lead's detail view shows the deal value, deal stage, deal name, and the most recent call outcome — whichever of those exist on the matched contact.
