WooCommerce purchase tracking
How the Lead Recorder WordPress plugin records paid WooCommerce orders, shows revenue by source, and why its totals can be lower than WooCommerce's.
With the Lead Recorder WordPress plugin and a store key, every paid WooCommerce order is recorded as a purchase on your dashboard, next to your leads. You see what each order was worth and where the buyer first came from.
Setup
- 1Install the Lead Recorder plugin and paste your snippet, as described in How to install Lead Recorder on WordPress.
- 2In your Lead Recorder dashboard, open Integrations, find WooCommerce and click Generate store key.
- 3Copy the key straight away. It's only shown once.
- 4In WordPress, go to Settings > Lead Recorder, paste the key into Store key and click Save.
The Store key field only appears when WooCommerce is active. If you lose the key, generate a new one with Rotate key and paste that in instead. The old key stops working as soon as you rotate it.
How purchases are recorded
- Paid orders from your online checkout are recorded, whether your store uses the classic checkout or the newer block checkout.
- When an order is paid, or marked Processing or Completed for payment methods like cash on delivery or bank transfer, your own server sends it to Lead Recorder. The order total comes from WooCommerce itself, not from the buyer's browser, so it can't be edited or faked on the way in.
- The purchase is linked to the same visit history a lead gets: the page they first landed on, the ad or search that brought them, and every page they viewed before buying.
- Each order is recorded once, even if its status changes again later.
- No customer details are sent: no name, email, address or products. Just the total, currency, order date, order number, a link to the order in wp-admin and the anonymous visit IDs.
Revenue is shown per currency
If your store sells in more than one currency, you get a separate total for each one, using what the buyer actually paid. Lead Recorder never converts between currencies or adds them together, because any exchange rate we picked would be different from the one your bank used.
Why the numbers can be lower than WooCommerce's
WooCommerce counts every order. Lead Recorder only counts paid orders from your online checkout, so expect its totals to be lower. The gap comes from:
- Orders that never pass through online checkout: orders created in wp-admin, subscription renewals and imported orders.
- Refunds. A refunded order stays at its original total; refunds aren't subtracted.
Buyers whose browser or ad blocker stopped the tracking script are still recorded, because the order comes from your server, but they can't be linked to a visit. They're listed under Unattributed, so the per-source rows still add up to the total.
Purchases and your plan
Purchases don't count toward the free plan's lead limit, and they aren't capped on any plan. They also stay out of your lead counts, weekly digest and Zapier lead triggers.
Notifications
If Slack or Microsoft Teams is connected, you get a message for each purchase, such as "New purchase: $120.00", with where the buyer came from. A busy store can turn this off under Integrations with the "Notify me about purchases" switch. Lead notifications keep working either way.
Tip: Orders aren't showing up? Check WooCommerce > Status > Scheduled Actions for lead_recorder_send_purchase. The plugin sends each order in the background and retries for a couple of hours if Lead Recorder can't be reached.
